From time to time you will need to complete some aspects of the placement process for your business contacts if, for example, a contact misses an email or a last-minute placement needs to be accepted quickly
Accepting the Placement on behalf of the business
1. Create the placement according to the same process as usual (select student(s), add placement(s) for them)
2. Open the placement form and enter the details for the placement, including new or existing business name and department
3. For the business contact details, it is required to put in an email address. You have two options here:
Put in the business email address, but if you don't want the business to be emailed any of the placement emails, be sure to uncheck the box at the bottom of the placement form 'Send Automated Emails to Business' - this stops all emails going to the contact
You could put your email address in here and receive the business emails. It will be logged in the 'History log' of the placement that the emails went to your email address
4. Once you have put in all the details for the placement and required checks, go to the bottom of the placement form and check the box saying 'Accept placement on behalf of business'.
5. Then click on the green box that says 'Accept Placement' as per usual. If the placement doesn't require parental consent, the placement will have completed stage 2.
Completing H&S on behalf of the business
There are 2 locations where you can manually confirm and upload a business's health and safety on Grofar.
Health and Safety section
1. Go to the H&S section
2. Find the business department for the placement in the table
3. Click on the pencil icon next to the business department's name to open the health and safety form.
4. Check the boxes and enter the correct dates relevant to each item.
5. Upload documents related to the business's health and safety.
6. 'Save' - the H&S is now completed for this placement and the placement confirmation email will be sent to the student
Business Profile
1. Open a business profile
2. Go to the H&S section
3. Click on the grey 'Update Details' button to open the form to fill out after completing a health and safety check.
4. Fill in the details and 'Save', the H&S is now completed for this placement and the placement confirmation email will be sent to the student (and business which is your email address)
Verifying logged hours on behalf of the business
1. Open a student's profile.
2. Click on the relevant placement on their profile.
3. Scroll down to and expand the hours section of their placement.
4. Tick the check box under 'VERIFIED' to verify these hours on behalf of the business.
Completing feedback on behalf of the business
1. Open a student's profile and select the relevant placement.
2. Scroll down to and expand the 'Feedback & Final Mark' section.
3. Click on the grey 'Edit' button to add the feedback you need.
4. Feedback forms can also be accessed from the 'Student Database'.
